Creation of an as-built documentation system

Structuring the documentation into a system and ensuring compliance with the pre-established REQUIREMENTS SYSTEM (including laws, standards, quality management systems and other regulations) are critical to the success of a project. A well-designed table of contents for the As-built Documentation System, prepared already at the contractual stage and attached as an annex to the Works Agreement, encourages disciplined and accurate work and supports effective cooperation between the Client and the Contractor.

In the construction of new plants and plant sections, the documentation contains important information. This information is indispensable for the professional and safe operation and maintenance of the new facility. In addition, they can serve as a basis for possible future modernisation, intensification and/or reconstruction.

In the course of a company’s operation carrying out implementation and maintenance work, countless sets of as-built documentation are prepared. The regulated operation of the resulting As-built Documentation System requires well-defined RULES OF PROCEDURE, which set out the process and rules for handling the documentation. So-called ‘Handover–Acceptance Sheets’ (also known as ‘Documentation Accompanying Sheets’) are prepared to capture all key characteristics of the documents. Within the company, these sheets are then used by each discipline to check the documents for both content and formal compliance.

The review may reveal observations and deficiencies, which are recorded in writing and immediate action is taken to resolve them. The documents thus corrected are handed over to the operator during the successful trial run, while one copy is retained in the plan archive of the Contractor / Investor. The creation and regulated operation of the As-built Documentation System are of key importance for the success of a project.

Allow us to contribute to the success of your project with our expertise, ensuring that every step is documented, transparent and compliant with the highest professional standards. Contact us today to find out how we can help you!
